Position Summary

We are seeking a highly motivated, detail-oriented individual to join our team as a Project Administrator. In this role, you will manage intracompany orders from start to finish, ensuring accuracy, quality, and timely processing throughout every step of the workflow. The ideal candidate thrives in a fast-paced environment, demonstrates strong analytical and customer service skills, and is eager to build a career in sales administration. This position is an excellent opportunity for a recent graduate or an early-career professional.

Essential Functions

  • Manage assigned projects from initiation through completion.
  • Prepare and distribute sales contracts and related customer correspondence.
  • Communicate with internal stakeholders to ensure expectations are clearly represented within the ERP system.
  • Collaborate with supply chain and demand planning teams to maintain accurate timelines.
  • Ensure timely release of sales orders and contracts to meet customer requirements.
  • Invoice contracts with accuracy and attention to detail.
  • Perform additional duties as assigned.

Additional Responsibilities

  • Serve as a liaison and communicate between Market Managers, Market Support, and customers across assigned regions.
  • Generate engineering tickets for custom items
  • Request quotes from vendors for items such as walk-in boxes, shelving, office packages, and lockers.
  • Lead weekly calls for assigned regions to confirm ship date accuracy and project updates.
  • Revise quotes after initial submissions and post-approval as required.
  • Respond to both internal and external inquiries related to quotes/contracts, resolving issues promptly.
  • Generate and communicate deposit invoices and confirm receipt prior to shipment.
  • Update multiple internal communication systems daily.
  • Maintain strong organizational practices across all assigned projects.
  • Demonstrate effective multitasking and prioritization.

Education, Experience, and Knowledge Requirements

  • 1–2 years of customer service or related experience; or an equivalent combination of education and experience.
  • Strong attention to detail and excellent communication skills.
  • Ability to multitask, prioritize, and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Experience in sales administration, project coordination, purchasing, or supply chain support is a plus.

Pay: $45,000.00 - $50,000.00 per year
