About the job The primary purpose of this Executive Assistant / Virtual Assistant role is to provide proactive, high-

trust support to Dr Jesse Green and the Savvy Dentist leadership team. This is a full-time remote contractor role for someone based in Malaysia who can work in alignment with Australian business hours and confidently operate in a fast-moving, high-accountability environment.

This role is designed to reduce founder workload, improve operational cadence, and keep priorities moving. You will own administration, scheduling, coordination, follow-through, and task management across day-to-day activities and key projects. You will report day-to-day to Rae

Stewart, with Dr Jesse Green setting priorities and final approvals.

Savvy Dentist is looking for someone who is responsive, organised, discreet, highly capable with systems, and comfortable working independently with minimal supervision. You will be trusted to anticipate needs, close loops, and help the leadership team stay focused on the work that matters most.

executive administration.
  • Confidence preparing professional documents, templates, summaries, reports, and follow-up
notes with a high level of accuracy.
  • Ability to work within structured systems and maintain document control, naming conventions,
and clean administrative records.
  • Comfort using CRM and workflow tools such as GoHighLevel, and call platforms such as Aircall
or similar tools.
  • Strong English communication skills, both written and spoken, suitable for professional
communication with Australian stakeholders.

Executive Support

  • Manage Dr Jesse Green’s calendar end-to-end, including scheduling, confirmations, meeting
preparation, time-boxing, and conflict resolution.
  • Own inbox and message triage where delegated, including drafting replies, flagging decisions,
tracking follow-ups, and maintaining a clear “waiting on” list.
  • Prepare meeting agendas, capture action-focused notes, and drive follow-through by tracking
owners, due dates, and reminders.
  • Coordinate travel arrangements and itineraries when required.
Administration & Coordination
  • Create and maintain operating documents, templates, checklists, and administrative records
within the approved Microsoft environment.
